Student Assistant position available in UB Graduate Enrollment Services

We are seeking to fill a semester position in the Office of Graduate Enrollment Services. It is anticipated that the employee will devote up to 20 regularly scheduled hours per week to this assignment. The responsibilities of this Student Assistant position will include, but will not be limited to, tasks such as:

  • Providing assistance with various data mining projects in order to learn characteristics (demographics, quality) of yearly applicant pools.
  • Assistance with day-to-day online Slate (graduate online application system) operations – training, application support, technical support, user support documentation
  • Petitions, waivers and score management, including downloading and distribution of electronic GRE and TOEFL scores through an online system, triage and review of transcripts; providing assistance with application fee waiver/deferral processing,
  • Assisting with day-to-day communication with prospective applicants placing an emphasis on enhancing communication with applicants from underrepresented backgrounds.
  • Daily communication with prospective applicants and answering general questions regarding graduate school programs at UB.
  • Assistance with the processing of transcripts in the online Slate system, including but not limited to: reviewing submissions, verifying files, and communicating with staff
  • Provide general office support – screening of incoming mail, incoming telephone calls, typing, photocopying, faxing and scanning
  • Projects as assigned to assist GES staff

The incumbent will also be expected to prepare correspondence, assist with basic office duties (answering phones, verifying data, etc.), provide support for database and electronic mailing list management and maintenance, as well as assist with preparations for various Graduate Enrollment Services events. Other administrative and technical tasks may be assigned as appropriate to the skill level of the candidate (i.e., enhanced support of the online application system (imports); data reporting, Slate and others processes).

Applicants for this position must demonstrate exceptional communication skills (oral and written), tact, and diplomacy, reliability and attention to detail. This student assistant position requires effective management of information in terms of ability to handle confidential information, editing content, organization and descriptiveness, as well as effective contact with personnel throughout the University on a regular basis. It is essential that the chosen candidate will be able to learn to use resources (websites, contact lists, on-line and printed information) to maximum effect and efficiency. Other mandatory qualifications include:

  • Working knowledge of Microsoft Windows
  • Working knowledge of Microsoft Office Suite (Word, Excel, Access and PowerPoint)
  • Familiarity with Adobe Acrobat
  • Basic understanding of the workings of a web page
  • High energy level, with the ability to manage multiple time-sensitive tasks with attention to detail
  • Excellent communication skills, plus tact and diplomacy
  • Proven organizational and multi-tasking skills
